Catering & Private Party Policies

J. Arthur’s at Laurel Ridge is proud of its magnificent facilities, excellent service, exquisite cuisine, and a staff of professionals who will do their utmost to create a pleasurable experience for you and your guests. The following will be helpful to you in planning a successful event.

Catering and private party reservations are accepted for groups of 50 or more, with advance notice, on a first-come basis. Some dates are not available for members or outside parties due to Club scheduled events. Our Pavilion can accommodate up to 200 seated guests and 250 to 275 cocktail style; parties of less than 50 that wish to reserve will be charged for the minimum of 50 guests, plus tax, plus service charges. A maximum of 4 hours is allowed for room usage. There may be multiple parties booked in a day and possibly taking place at the same time.

Deposits & Rental Fees

A non-refundable deposit of the full Pavilion rental or Clubhouse rental must be made in order to hold the date for your function. For purposes of equity among groups and maximizing Club profitability there are no “courtesy” holds. Sixty days prior to the event, menu selections, an initial guest count, and a non-refundable deposit equal to 80% of the anticipated sales price of the function (excluding liquor and service) is payable by cash, check or club member charge. Also, sixty days before the event any optional services, set-ups, or special arrangements must be added to contract. A final guest count is due 7 days prior to the event date. This number may be adjusted upward by 5%, but may not go down; you will be charged at least the final guest count, regardless of any variation in the attendance. The final guest count may never go below the party minimum of 50 guests. Final payment is due on the day of the function by cash, club member charge, Visa or Mastercard; checks will not be accepted. All deposits are non-refundable, regardless of reason for cancellation or modification.

Our Pavilion / Clubhouse rental fee is $1,000.00 for 50-99 persons and $1,500.00 for 100 or more persons. A maximum of 4 hours is allowed for room usage. For each additional hour there will be a minimum charge of  $300.00 per hour.

 Food & Beverage

 All food and beverage must be purchased from J. Arthur’s at Laurel Ridge. Removal of food and beverage from the function room is not permitted nor can we allow food and beverages from other sources to be provided and / or served in our function rooms. Any special dietary needs should be discussed with us at least 30 days in advance in order to accommodate request.

J. Arthur’s is responsible for the administration of the sale and service of alcoholic beverages in accordance with North Carolina state liquor laws. We reserve the right to monitor all alcohol consumption, to ask for proper identification, and to refuse service to any visibly intoxicated person.

You will be billed 7% North Carolina sales tax plus service charges in addition to the menu pricing for food and beverage. Tax-exempt groups must turn over a copy of their tax-exempt certificate in order not to be billed tax. Our service charges are: $125.00 per server, $100.00 per bartender and $75.00 per bus person. We require one server per 25 guests, one bartender per 100 guests and one bus person per 50 guests.  

 Host Responsibilities

You are responsible for the conduct and actions of your guests. All guests are expected to act like ladies and gentlemen at all times. Any physical damage or loss to the Club facility or other Club assets by acts, conduct or omissions by you, the name host, or your guests will be your responsibility. The Club does not schedule event-specific security. All guests must be of legal drinking age for alcoholic beverage service. The Club management will refuse alcoholic beverage service when, in the management’s determination, it will be harmful. The Club reserves the right to refuse any of its services at any time. It is against North Carolina law for alcohol to be brought into or removed from the premises. The Club is not responsible for any personal items brought into the Club or left at the club following an event. Please do not assume anything in planning your event; rather, discuss it with us, and we will put it in writing.

Club Responsibilities

The Club is responsible for providing the contracted products and services at the agreed-upon dates and times. Unless otherwise agreed in writing, the Club provides a “standard” set-up for functions, which includes the appropriate number tables and chairs, linen tablecloths and napkins, shined flatware and appropriate china and glassware. This DOES NOT include the set-up or break down of outside rental chairs, tables or linens. We will be happy to do this at an additional charge. Additionally, the Club prepares clean and comfortable facilities for your group. The Club always has at least one supervisor on duty for each event. The Club is not responsible for failure to complete this contract, or any part thereof, due to accidents or other situations and causes beyond its control. Unless otherwise agreed in writing, the Club is not responsible for providing decorations, A/V equipment, entertainment, or providing additional space, equipment, supplies or extra staff labor. We will provide additional services such as tent or dance floor rental or ice sculptures upon request.
